If our system isn’t creating reoccurring bookings/invoices in the manner that you expect, please see the points below common issues and solutions.


Future-dated reoccurring invoices aren’t being built from the customer’s Master Invoice

This could be due to the deletion of the service frequency (eg. Weekly) that was associated with the Master Invoice. To resolve this issue, within the side menu, go into Invoices  Discounts. Within this page, ensure that the service frequency (eg. Weekly) can be found in the listing. If it is not present, click “Create Frequency” at the top of the page.

After the frequency has been setup once again, future-dated invoices should be created within the next day.


I changed the service frequency on a customer’s Master Invoice from weekly to monthly and there is now a one month gap between the appointments that were created.

This can happen when you mark a future-dated invoice as paid, cancelled, or charge the customer’s payment card for the appointment before changing the frequency of the Master Invoice.

To resolve this situation, you’ll need to go into one of the other future dated invoices, copy the invoice, and set the appointment date as appropriate to close the gap in service.


A customer booked an appointment with me and indicated a frequency of weekly. No Master Invoice was created from this.

There are 2 possible reasons for why this might have occurred:

  1. Within your Booking Form Setup Page, Invoice Pricing is set to something other than ‘Calculate invoice total in dollars’
  2. You’ve received an abnormally high volume of bookings on your website and our security measures have temporarily prevented the creation of additional invoices. Please contact support if you believe that this happened.

 

You’ve created a booking for a customer and indicated a frequency of weekly. No Master Invoice was created from this.

There are 2 possible reasons for this.

  1. You forgot to indicate an appointment date on the invoice that you just created. Edit the invoice, set an appointment date/time, and you’ll find that a Master Invoice will be created.
  2. You’ve received an abnormally high volume of bookings on your website and our security measures have temporarily prevented the creation of additional invoices. Please contact support if you believe that this happened.


One or more of a customer’s future dated invoices is not inheriting changes from the Master Invoice

There are 4 possible causes for why this might be happening

  1. The invoice that you’re looking at pertains to an appointment in the past. Invoices for jobs that have already been completed will never get updated off the Master Invoice.
  2. The invoice that you’re looking at has been paid, refunded, or cancelled. Invoices in these statuses don’t inherit changes from Master Invoices.
  3. You deleted the calendar event associated with this invoice. Invoices with no calendar event do not inherit changes from Master Invoices.
  4. The invoice that you’re looking at has the ‘Suppress changes from Master Invoice’ set


A reoccurring invoice was created without a frequency discount

In this case, the cause if this will be due to the fact that the frequency discount for the frequency (eg. Weekly) has been set to 0%.
